The Benefits of Syncing a Team Calendar With Outlook

A team calendar outlook allows teams to see each other’s availability, which reduces scheduling conflicts. It also helps members coordinate conference attendance and travel arrangements.

The Timewatch Outlook add-in enables employees to turn their Microsoft appointments into timesheets, and their Outlook calendars into a team calendar. It is available for both desktop and mobile.

Shared Calendars

Team calendars are a great way to keep track of meeting dates, time off schedules and project deadlines. They also make scheduling meetings easier because you don’t need to send out meeting requests individually.

Adding a team calendar to your Teams channel is a simple process. Simply select the group that you want to share a calendar with and enter the email addresses of the people who you’d like to share it with. Then decide what level of access you’d like to give each person – from view-only to edit rights.

You can also embed SharePoint or other external calendars into a Teams channel to enable collaboration across multiple tools and platforms. A common example is a marketing team creating a central hub for their new campaign with inspiration, launch schedules and links to metric dashboards. These types of channels can also sync with a team’s Outlook calendar.

One-Way Synchronization

Syncing the Teams calendar with Outlook provides a number of benefits. For example, it allows team members to see each other’s schedules without having to send out meeting requests. This simplifies the planning process and can save a lot of time. It also makes it easier for project managers to schedule meetings and events.

Using one-way synchronization, you can view — but not update — Team Calendars events in your Outlook calendar. This option requires a free CalDAV synchronization plugin for Outlook. To use this plugin, open the Calendar app and select Subscribe.

You can also sync the Teams calendar with a personal calendar, such as an Exchange public folder or SharePoint site. This allows you to receive calendar notifications in your personal email account. For example, you can set up notifications to alert you when you have a new meeting or appointment. You can also color code the different types of appointments and meetings, making them easier to recognize.

Managing Calendar Permissions

If you receive an email message indicating that someone has delegated calendar access to you, you can open their calendar in Outlook and read their schedule. You can also create appointments and meetings for them. However, you cannot edit their calendar.

If the person who owns the calendar has granted you permission to modify their permission levels, you can do so manually in Outlook. In the Permissions tab, select the user and change their permission level as needed.

The built-in Teams calendar is a little limited in terms of collaboration features, especially when it comes to scheduling events. While you can invite teammates to events in the Teams calendar, they won’t show up on the teammate’s built-in Calendar tab in Outlook.

To share a calendar with a group, click the button labeled “Calendar groups” in the Manage Calendars group on the Home tab. You can then enter a name for the calendar group in the New Calendar group box.

Managing Calendar Notifications

In the case of Virto’s add-in for Outlook, you can create an event in Outlook and share it with other users (even those who don’t have an Outlook account). You can also select which calendar the event should be posted to, such as a Teams channel calendar or a Teams private calendar.

For hybrid or remote workers who are constantly on the move, a web-based team calendar is a great way to keep them connected to their colleagues’ schedules and projects. A team calendar is available 24/7 and can be accessed on any device. It can be used for meeting invites, project milestones and task management. It can even be used for time tracking. Adding Team Calendar to Microsoft Teams is easy, with a simple one-way synchronization between the two programs.
